Potential Duplicate Profiles Report

This operational report identifies the following:

• Potential duplicate student profiles that may need to be merged when similar profiles are likely to be the same student.
• Instructor and student profiles that may need to be deleted from the MAP system.

Duplicate Instructor profiles or student profiles are reported separately by profile type. Duplicate profiles include associated schools (where students attend or instructors teach) and student or instructor status. If no data is available for the current term, the report shows school information by term name for which data exists. "Multiple Schools" appears if a student attends multiple schools or an instructor teaches at more than one school. Schools are listed in ascending alphabetical order.

Required Roles

You must be assigned at least one of the following MAP system roles to access this report:

• Data Administrator
• Assessment Coordinator

Field Description

Use the following required field to order this report:

Profile Type: Students or Instructors.

Ordering a Potential Duplicate Profiles Operational Report

Student profiles must have a status of "Active" to be included in this report. Instructor profiles can be active or inactive to be included in this report.

Use the following procedure to order this report:

1. On the Operational Reports page, click Potential Duplicate Profiles.
2. On the Potential Duplicate Profiles Report page, select a profile type.

3. Click Create Report.

   The Potential Duplicate Profiles Report page appears.

Profiles With Shared ID —vs.— Potential Duplicate Report

There are two operational reports that offer help to find duplicate entries for the same student:

• Profiles With Shared IDs
  • CSV format
  • Only compares profile IDs
  • Useful if your district uses the Match on ID policy
  • Less useful if your district re-uses old student IDs, since all recycled IDs will appear as duplicates
• Potential Duplicate Report
  • PDF format
  • Compares not only IDs but also names, birth dates, and other data; consequently, more potential duplicates appear
  • Useful to avoid errors when using the Import Profiles process in MAP
  • Not available if your district uses the Match on ID policy
  • Can take up to 24 hours to process
