About Importing Students and Users

You can import student and user profileCollapsed data in bulk. Import student profiles in preparation for each testing term. At the same time or whenever needed, you can also import profile data for teachers or other users, such as Proctors. After import, students can take tests, MAP users gain access to system features, and your profile data is up-to-date.

Note: Alternatively, you can use Manage Users and Manage Students to create Instructor profiles and student profiles one by one.

Key Activities

The Import Profiles process involves these key activities:

  1. Roster file preparation: Using NWEA templates, prepare a .csvCollapsed file with names and other profile information. (See Tips for Working with Roster Files.)
  2. Import: In the MAP system, using the Import Profiles page, load the roster file. (See Importing Student and User Profiles.)

    The system then checks the roster records to make sure there are no conflicts with the existing system records.

    1. Post records: Once records are determined to be valid and free of errors, you post them to the system database.
    2. Reconcile import errors: For records determined to have errors, such as potential duplicates, you must reconcile the errors. Reconciliation is an iterative cycle that you can handle in stages, but the import process is not complete until you have reconciled all errors.

Important! Because you can run only one import process within a district at a time, NWEA recommends that you coordinate the import at the district level. The entire importing process can take anywhere from minutes to days, depending on the number of profiles you need to add or modify in the MAP system, the number of errors that need to be corrected, and the length of time needed to gather all the pertinent information for import.
