Scheduling Combined Data File Generation

The Combined Data File is a single data file that contains student-centric information for a specific instructional term (fall, winter, spring or summer) in a specific year, and contains the following information:

Steps

To schedule a Combined Data File generation:

  1. On the MAP Reports landing page, click Data Export Scheduler.
  2. On the Data Export Scheduler page, select Enable.
  3. Choose how often you want the report to run (Frequency).
  4. If you selected a One Time frequency, select the Term to use as the basis for the data file. Otherwise, if you selected a Daily or Weekly frequency, the Term defaults to the current term and cannot be changed.

    IMPORTANT: If you make administrative changes on the same day as the one time export—such as modifying student profiles or changing a test window—then they will not appear in the exported data. Administrative changes do not appear in exports (and reports) until after the nightly process, so an export that occurs before the nightly process will not reflect changes from that day. For this reason, the one-time export is best used for historical data or for exports made early in the day.
  5. Select Combined Data File as the Export Type.
  6. Click Save.
    The file Status is In Process until it is ready for download.
  7. When the file is ready, click Download to open or save the file.
  8. Download statuses appear in the table at the bottom of the page. When the file is ready, click Download to open or save the file.
Important! Each generated data export file replaces the previous one. Each assessment coordinator has access to only one data export file at a time. If you see more than one file, the latest file is still being processed.
