Data Export Scheduler

This tool schedules exportable MAP results data for delivery.

With exported files, you can:

• Analyze new data
• Create your own reports
• Import the data into other systems

Assessment coordinators can:

• Use the Data Export Scheduler to set how frequently to generate data export files
• Access a quick link to the generated data export file(s) from the MAP Reports landing page or directly from the Data Export Scheduler page

The MAP system provides a scripting interface as an alternative method for retrieving an exported data file. Your script can retrieve the file and place it in a location of your choice. For more information, see Automated Retrieval of Data Export Files.

Required Role

You must be assigned the Assessment Coordinator role in the MAP system to access this tool.

File Type Options and Descriptions

The following Export Type options are available:

Comprehensive Data File

The Comprehensive Data File contains student-centric information for a specific instructional term (fall, winter, spring or summer) in a specific year. The data are delivered in CSV format and are packaged in a .zip file. The data export file automatically includes the following information:

• Student-to-school associations for the specified term
• All valid assessment results for students in the specified term

You can optionally select to generate the following data:

• Student-to-teacher and class associations for students in the specified term
• Student-to-program associations for the specified term
• Student test accommodations provided during testing

Combined Data File

The Combined Data File is a single data file, delivered in CSV format and packaged in a .zip file, that contains student-centric information for a specific instructional term (fall, winter, spring or summer) in a specific year, and contains the following information:

• Student-to-school associations for the specified term
• All valid assessment results for students in the specified term

CompassLearning^® XML File

The CompassLearning^® XML File option appears only for joint NWEA-CompassLearning partners.

Field Descriptions

Use the following required fields to set up the Data Export Scheduler to export data from the MAP system:

Disable/Enable: Choose whether to enable or disable the scheduler. Set the scheduler to Enable to generate the Comprehensive Data File. If you are not using the output for some period, choose Disable to preserve system resources. After you generate a One Time export file, the setting returns to Disable.

Frequency: How often you want to generate data export packages.

• One Time: Generates as system resources are available, typically within an hour. After the data file generates, the system reverts to the Disable setting until you click Enable and choose a new option.

  IMPORTANT: If you make administrative changes on the same day as the one time export—such as modifying student profiles or changing a test window—then they will not appear in the exported data. Administrative changes do not appear in exports (and reports) until after the nightly process, so an export that occurs before the nightly process will not reflect changes from that day. For this reason, the one-time export is best used for historical data or for exports made early in the day.
• Daily: Generates every day as part of nightly processing.
• Weekly: Generates weekly, on the specified day, as part of that day's nightly processing.

Term: School term for which you want export data. This option is available only if you select One Time as the Frequency option. Otherwise, exported data is from the current term.

Export Type: Whether to export a set of CSV files (Comprehensive), a single CSV file (Combined), or an XML file (CompassLearning). The CompassLearning^® XML File option appears only for joint NWEA-CompassLearning partners.

Contents: If you select Comprehensive Data File as the Export Type, you can include optional information.

• Included: Information by school and assessment results are automatically included in the data file.
• Optional: You can optionally include information by student class assignments, student program participation, or accommodation assignments in a data file package.

Aggregation: Choose By School to receive separate export packages for each school. (For example, if you want to distribute data to a school administrator.) Choose By District to receive one export package including all schools.

School: If you chose aggregation by school, a School list appears, from which you can select schools to include in the data file.

Scheduler history appears at the bottom of the Data Export Schedule page. If more than one file of the same type appears, the file with the Download status is the most recently created and is ready. For example, you could see a Comprehensive Data File with the Download status and another Comprehensive Data File with the In Process status, which is still generating. As soon as a new export file is ready, it replaces the existing one.

Status: You can view the status of any data export file that is scheduled, in progress, or available for download.
